OVERVIEW: Austin Region Justice for Our Neighbors, a faith-based non-profit organization dedicated to welcome immigrants by providing high quality legal services, education and advocacy, is seeking to hire an Administrative Assistant who is motivated, qualified, responsible, organized, and empathetic. The Administrative Assistant is a key role within the support staff to empower the work in-office at Austin Region Justice for Our Neighbors, located at 2105 Parker Lane.

JOB TYPE:​ Full-time (40 hours per week), non-exempt

COMPENSATION: ​$14-16 per hour

BENEFITS: $5000 health care stipend; 4 weeks (20 days) paid vacation days; 40 hours of sick or personal time; acces to INOVA employee assitance program for confidential counseling, financial services, legal services, and more

Responsibilities of the position include:

  • Answering and directing telephone calls in English and Spanish

  • Making referrals for internal and external services

  • Conducting and processing initial screening of potential clients

  • Responding to clients’ questions about case progress and court dates

  • Entering client data, case documents, and case notes into case management software

  • Scheduling appointments and maintaining interview room calendar

  • Greeting and welcoming clients and visitors

Additional clerical and support duties as assigned, including:

  • Handling and sorting incoming and outgoing mail

  • Notarize documents (ARJFON will cover expenses of commissioning as a notary public)

  • Filing: copying/scanning/uploading all pertinent mail and documents assigned by attorneys

  • Preparing bank deposits

  • Assisting the Executive Director with donor and volunteer tracking

  • Assist in other ways as needed in a small non-profit environment.

Requirements for the position include:

  • Fluency in both oral and written English and Spanish

  • Commitment to maintaining strict confidentiality and attorney-client privilege as an extension of the legal team

Qualifications for the position include:

  • Friendly, warm, and professional customer service ability

  • Excellent organization and time-management skills

  • Experience with Microsoft Office, internet, cloud services, scanning and printing equipment

  • Willingness to learn new computer or phone systems and programs

  • Dedication to the human rights of refugees and immigrants

  • Familiarity with immigration law and immigration-related issues highly preferred
